“How far is the Yarra Valley?” is a fair question with a slightly annoying answer: it depends which part, and which hour. Lilydale sits at the suburban edge. Healesville, Yarra Glen and Coldstream are further into wine country. Warburton and the ranges take longer again. As a planning sentence that guests understand: allow about an hour from the Melbourne CBD to a mid-valley address, and more on a Saturday or in rain.
This page will not invent a kilometre figure for every town or a timetable that will be stale next season. It will tell you how to write guest instructions that survive contact with a real wedding.
How guests actually arrive
Driving. Many guests will drive. Give one recommended route, not a debate. Mention EastLink / Maroondah Highway / Melba Highway style approaches only if they match the address. Warn about gravel driveways, one-lane bridges and the fact that “the winery” is not a pin every car GPS agrees on. Put a what3words or a plus code in the notes if the property has one — only if they provided it.

Coach. A coach reduces drink-driving risk and lost-car energy. It requires:

- Venue permission and turning space
- A return plan (wait, second trip, or one-way plus rooms)
- A host on the bus who is not also the couple
Wedding cars. A ceremonial car is a photograph and a feeling. It is not guest transport. Treat it like other hire: timing, decoration rules, and whether it can manage a dirt driveway. Confirm any car company yourself.
The exit is the plan
A licensed reception in the valley ends in a place that is quiet, dark and short on street-hail taxis. Design one of the following:
- A booked return coach
- Overnight rooms and a breakfast note
- A shared-ride sheet with designated drivers who agreed in advance
If you do none of these, you have asked guests to improvise in a wine region at night. That is not hospitality.
Accessibility and comfort
Some guests will not enjoy a coach step or a long walk from overflow parking. Ask the venue about drop-off points. Put the true walking surface in the invitation notes — grass, gravel, slope — so people choose shoes for the ground, not for a ballroom fantasy.
If you are splitting ceremony and reception, publish both addresses and the minutes between them as you measured, not as the venue’s most flattering version.
When travel is sketched, finish the sentence on the accommodation page so interstate family are not booking a CBD hotel and a 6am alarm.
Writing the invitation paragraph
One short block is enough:
The ceremony is at [property name you have actually booked], near [town]. Allow about an hour from the Melbourne CBD, more on a Saturday. We recommend [one route idea]. Parking is [on site / a short walk / limited]. If you do not want to drive after the reception, stay in [town cluster] or use the coach we will describe in a later note.
Do not add three apps, a joke about getting lost, and a mystery pin. Humour is fine after the facts.
If the property is hard to see from the road, ask them for the sentence they give delivery drivers. That sentence is usually better than a poetic one.
Cars, photos and the driveway
A ceremonial car needs time that does not collide with guest arrival. If the driveway is one-lane, the vintage car and the guest coach cannot occupy it at once. Put those minutes on the run sheet. Ask whether decorations may use the paintwork. Ask whether the car can idle without becoming part of the ceremony soundtrack.

People flying into Melbourne need a larger truth: the wedding is not “in Melbourne”.
